The opportunity
To ensure the procurement and administration processes are streamlined, efficient, and transparent, enabling timely supplier payments, accurate accruals communication to Finance, and robust contract/license governance. This role will foster seamless collaboration between internal teams and suppliers, offloading administrative burdens and keeping documentation up-to-date, thereby supporting accurate P&L and balance sheet management.
Key responsibilities/Expectations/What does the role have to deliver
- Procurement Process Streamlining:
Review, optimize, and document procurement workflows to minimize manual administration and improve end-to-end efficiency. - Supplier Payment & Accruals Management:
Ensure timely monthly payments to suppliers and proactively communicate accruals to Finance, supporting accurate financial reporting. - Supplier Relationship & Escalation:
Act as primary escalation point for supplier issues, demonstrating ownership and analytical resolution for vendor concerns. - Contract Administration & Renewals:
Manage contract lifecycles, including timely reminders for renewals, acting as a bridge between internal teams and suppliers. - License Management & Governance:
Oversee license administration, ensuring compliance, renewal tracking, and governance processes are documented and followed. - Process Documentation:
Create, update, and maintain clear documentation for all procurement and administrative procedures. - Administrative Offloading:
Develop solutions and processes that reduce administrative workload for internal teams regarding contracts and licenses. - Internal Collaboration:
Facilitate effective communication between IT, Finance, and other relevant teams to ensure procurement and administration requirements are met. - Reporting & Analytics:
Produce regular dashboards/reports on procurement activities, supplier payment status, contract/license renewals, and accruals.

Experience/Skills
- Advanced skills in procurement, contract, and license management
- Strong analytical mindset with proven problem-solving ability
- Experience with data analysis tools (Excel, Power BI)
- Familiarity with procurement platforms/tools (SAP Ariba, ServiceNow, or similar)
- Expertise in documentation (Word, Confluence, SharePoint)
Education/Certifications
- Educational degree in Supply Chain, Business Administration, ICT, or relevant field
- Fundamentals of ITIL (preferred)
- Fundamentals of Agile + Scrum (preferred)
IT-Skills/System requirements
- Procurement and contract management platform experience (SAP Ariba, ServiceNow, etc.)
- Data analysis & reporting tools: Excel, Power BI, or similar
- Process documentation: Word, Confluence, SharePoint, etc.
- Collaboration tools: Microsoft Teams, Outlook, etc.
- Understanding of ITSM platforms and best practices (preferred)
- Basic knowledge of IT infrastructure and application landscapes (preferred)
