Executive Assistant & Office Administrator
Contract Type:  Permanent
Job Location:  Hyderabad - India

The Opportunity

ADB SAFEGATE LABS INDIA  is looking for a highly organized, detail‑oriented, and proactive Office Administrator to support day‑to‑day office operations and ensure efficient administrative processes across departments. This role is essential in maintaining a well‑functioning office environment, supporting internal teams, coordinating vendors, and ensuring compliance with local regulatory requirements.


Key Responsibilities

Administration Office Management & Purchasing

  • Welcome, assist, and direct visitors and guests in a professional manner.
  • Act as the first point of contact for office‑related queries and administrative support.
  • Monitor, check, and order office and pantry supplies to ensure uninterrupted operations.
  • Handle purchase requests, verify invoices, and confirm receipts for office‑related expenses.

Shipping, Postage & Logistics

  • Arrange and manage outgoing shipments and courier services.
  • Handle incoming and outgoing mail, deliveries, and postal services.
  • Prepare shipping documentation, coordinate with logistics providers, and ensure secure packing of shipments.

Travel & Vendor Coordination

  • Coordinate domestic and international travel arrangements, including flights and hotel bookings, in line with company policies.
  • Manage relationships with travel agencies, vendors, and service providers to ensure cost‑effective and compliant arrangements.

Events & Coordination

  • Coordinate internal and external meetings and events, managing logistics, venues, catering, and coordination with stakeholders.

Clerical & Administrative Support

  • Perform general clerical duties including filing, photocopying, scanning, data entry, and document management.
  • Provide administrative support to other departments as required.

Telecom & Asset Support

  • Manage, monitor, and process employee’s IT Asset .
  • Coordinate with telecom providers regarding service issues, line activations, or billing queries.

Executive Agenda management

  • Manage agenda, schedule meetings and coordinate with different internal & external stakeholder.
  • Drafting agendas for ExCom workshop, event management and taking full end to end accountability for event coordination

HR OPS and coordination

  • Supporting HR on various tasks like scheduling interviews, coordinating with candidates for in-person interviews and getting new joiners onboarding access etc.,

Qualifications & Skills

  • Proven experience in office administration, office coordination, or a similar role.
  • Strong organizational, multitasking, and time‑management skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite and general office equipment.
  • Strong attention to detail with effective problem‑solving abilities.
  • Ability to handle sensitive and confidential information with discretion.

Additional Requirements

  • Bachelor’s degree in Business Administration or a related field is preferred.
  • Certification in Office Management is an advantage.
  • Prior experience in event coordination, travel arrangements, or vendor management is desirable.
